Leading US based financial services organisation based in the heart of the West End are looking for a top flight Office Manger/ Coordinator to come on board and join the team. Ideal candidate will have had previous experience in a similar office coordination role, especially with dealing with facility related issues, will be able to multi task, will have initiative and be able to remain calm under pressure.
Tact, diplomacy and resilience are essential for this role as well as a team player approach. In this office everyone has to muck in and help out!
Please do note that this role is based on reception and so will involve a certain element of meet and greet and office meeting coordination.
This is a true - jack of all trades role!
•Answers main switchboard, meets and greets guests
•Coordinates travel arrangements ensuring all travel bookings comply with Firm policy and obtaining appropriate approvals as required
•Process expense reports
•Maintain accounting of personal charges
•Process New Joiners (compliance, security access, desk set up, emergency contact details, etc)
•Coordinates subscription and market data contracts/licenses with Knowledge Manager
•Coordinating temporary staffing as required
•Coordinate conference room booking and catering including set-up/break-down for meetings and maintaining proper appearance/cleanliness of rooms
•Organizes courier and messenger service requests
•Act as liaison with building management, attend quarterly meetings, etc.
•Coordinate facilities issues and repair requests as required
•Coordinate emergency evacuation procedures and materials
•Maintain office, pantry and postage supplies
•Manage various vendor relationship and undertake competitive bidding as required
•Ad Hoc projects and general office duties such as copying, faxing and filing
•Provides back up coverage for Trading Floor Administrator
